MOTORVA / LEGAL & GOVERNANCE

PRIVACY POLICY

This Privacy Policy explains how MOTORVA collects, holds, utilizes, and safeguards personal and vehicle information in full adherence to the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth).

EFFECTIVE DATE: 3 NOVEMBER 2026•APP COMPLIANT (COMMONWEALTH OF AUSTRALIA)
TRANSPARENCY & INTEGRITY DISCLOSURE

MOTORVA is committed to straightforward, ethical business practices. We do not engage in hidden tracking, we do not monetize customer data, and we do not issue inflated claims about our digital infrastructure. As of November 2026, MOTORVA manages client intake through our verified web consultation forms and in-person workshop assessments; no corporate email routing is currently active in our environment.

1. Entity & Applicable Australian Law

This Privacy Policy applies to all personal and vehicle information collected by NET-ZERO AUSTRALIA PTY LTD (ABN 79 654 797 743), trading under the registered automotive brand MOTORVA (“MOTORVA”, “we”, “us”, or “our”).

Our primary workshop facility is located at Unit 1, 5 Robbins Circuit, Williamstown North VIC 3016, Australia. All physical workshop visits and vehicle drop-offs are conducted strictly by confirmed appointment to protect client privacy and ensure an undisturbed detailing environment.

We are bound by and strictly adhere to the Australian Privacy Principles (APPs) established under the Privacy Act 1988 (Cth), which govern how private entities collect, use, store, disclose, and secure personal information, as well as how individuals may access and correct information held about them.

2. Personal & Vehicle Information We Collect

To provide precision automotive detailing, paint refinement, and surface protection services, we collect only information that is reasonably necessary for one or more of our operational functions:

  • Client Contact Details: Full name, telephone/mobile number, email address (optional on preliminary web intake), and preferred consultation method (Phone Call, SMS / WhatsApp, or Email).
  • Vehicle Specifications: Vehicle category (e.g. Sedan, SUV / 4WD, Coupe / Sports, Hatchback, Ute / Pickup), year of manufacture, make, model, registration plate number, and current paintwork condition or owner concerns (e.g., swirl marks, water etching, previous resprays, PPF coverage).
  • Scheduling Preferences: Requested service dates, alternate scheduling windows, and desired service scopes (Multi-Stage Paint Correction, Ceramic Coating, Exterior Decontamination, Interior Purification, Paint Protection Film).
  • Technical Inspection & Gauge Data: Electronic clear coat thickness readings (measured in microns via digital ultrasonic gauge), paint defect severity logs, panel contamination notes, and before/after inspection observations recorded at our workshop.
  • Non-Identifying Technical Data: Browser user agent, operating system, and local storage state (such as light/dark interface mode preference) necessary for web layout rendering.

We do not collect sensitive personal information (such as political affiliations, religious beliefs, biometric identifiers, or health records) nor do we process online credit card transactions through preliminary consultation forms.

3. How We Collect Information

We collect personal and vehicle data directly from you whenever feasible, through transparent channels:

  • Direct digital submission via our multi-step booking consultation wizard at /book or homepage appointment request cards at /#studio.
  • Telephone, SMS, or in-person consultations during preliminary vehicle condition assessments.
  • Direct physical inspection and hand-off at our Williamstown North workshop during formal vehicle intake.

If you provide information to us on behalf of another individual (for example, arranging a detail for a company vehicle or family member), you warrant that you are authorized to disclose that information in compliance with the APPs.

4. Purposes of Collection & Use

Personal and vehicle data collected by MOTORVA is used exclusively for legitimate automotive service purposes:

  • Evaluating paintwork condition and tailoring bespoke clear coat correction or ceramic coating packages.
  • Issuing transparent, itemised service quotations based on vehicle dimensions, surface area, and lacquer hardness.
  • Coordinating private workshop bay allocations and scheduling technician time.
  • Communicating directly with you regarding vehicle assessment findings, clear coat thickness readings, unexpected pre-existing defects, and completion timelines.
  • Maintaining workshop craftsmanship records and warranty documentation for ceramic coatings or surface films applied to your vehicle.
  • Fulfilling accounting, tax, and statutory record-keeping obligations under Victorian and Australian Commonwealth law.

5. Appointment Enquiries vs Confirmed Bookings

Submitting a consultation inquiry through any form on motorva.com.au constitutes a preliminary request for service. An online submission does not guarantee or finalize an automatic calendar booking, nor does it guarantee specific pricing or bay allocation.

Because high-end paint correction and ceramic application require precise surface assessment, all dates and quotations are subject to our workshop team verifying vehicle clear coat depth, surface integrity, and workshop schedule. A booking is confirmed only after direct consultation with our workshop team.

6. Honest Data Flow & Server Architecture

MOTORVA operates a transparent, fail-closed digital infrastructure. When you submit an inquiry through /api/booking:

  • Your payload is validated on our server for length, content integrity, and anti-spam markers.
  • The submission is recorded in a secure local server audit trail with unique identifier tracking (e.g. MOT-XXXXXX-XXXX).
  • In the event that an external dispatch endpoint (such as a CRM or notification webhook) is configured, the server verifies successful delivery before confirming reception. If delivery cannot be verified, the system returns a fail-closed status and advises you to reach out directly.
  • We do not claim automated integration with third-party CRM systems (such as Zoho, Salesforce, or HubSpot) unless active, verified credentials and automated ingestion endpoints are fully operational.

7. Third-Party Sharing & Disclosure

MOTORVA does not sell, lease, rent, or trade your personal information to any third party for marketing, advertising, or data-mining purposes under any circumstances.

We disclose personal information only to trusted service providers who assist us in operating our workshop and digital platforms, strictly under confidentiality agreements and solely for the purposes described in this policy:

  • Cloud hosting, database, and infrastructure providers responsible for hosting our web application.
  • Professional advisors, including accountants, auditors, and legal counsel acting on behalf of NET-ZERO AUSTRALIA PTY LTD.
  • Australian regulatory or law enforcement bodies when strictly required by a court order, warrant, or statutory requirement under Australian law.

8. Overseas Cloud Infrastructure & APP 8

In accordance with Australian Privacy Principle 8 (Cross-border disclosure of personal information), we disclose that our web application and server hosting infrastructure may utilize enterprise cloud data centers located in Australia, the United States, or Singapore (e.g., Hostinger, cloud CDN networks, and DNS providers).

Where data is stored or processed on overseas servers, we ensure reasonable contractual safeguards are in place requiring the recipient to handle personal information in a manner that protects your privacy substantially similar to the APPs.

9. Vehicle Photography & Workshop Records

Anonymized Craftsmanship Documentation

As part of our quality assurance and portfolio presentation, MOTORVA routinely photographs and records video of vehicles during inspection, paint correction, ceramic coating application, and final reveal.

Privacy Protection Protocol: Registration plates, personal belongings left in the cabin, residential badges, parking permits, and any identifiable client emblems are digitally blurred, obscured, or cropped out prior to public display on our website or social media channels.

If you prefer that your vehicle not be photographed or published in any public portfolio, please notify our workshop team upon vehicle check-in, and we will place a photographic exclusion flag on your job card.

10. Cookies & Local Browser Storage

Zero Invasive Tracking Cookies

The MOTORVA website does not employ third-party tracking pixels (e.g. Meta Pixel, TikTok tracking, invasive behavioral ad networks).

We utilize standard, privacy-respecting client browser storage exclusively for functional requirements:

  • motorva-theme: Stores your preference for Light Mode or Dark Mode so the styling remains consistent across pages.
  • Ephemeral session state: Preserves your active selection within the multi-step consultation wizard while you complete the request.

11. Data Security & Storage Integrity

We take reasonable physical, electronic, and procedural precautions to protect your personal information from misuse, interference, loss, and unauthorized access, modification, or disclosure:

  • All web transmissions between your browser and our server are encrypted using modern Transport Layer Security (TLS 1.2 / 1.3).
  • Access to workshop booking records and customer contact details is restricted to authorized MOTORVA personnel on a need-to-know operational basis.
  • Physical job cards and diagnostic paint logs stored at our Williamstown North workshop are kept in secure, monitored premises with restricted visitor access.

12. Data Retention Schedules

We retain personal information only for as long as is necessary to fulfill the purposes for which it was collected, or to comply with Australian legal, tax, and accounting standards:

  • Unconfirmed Consultation Inquiries: Inquiries that do not proceed to a confirmed appointment are archived or securely deleted after 180 days.
  • Completed Vehicle Service Records: Customer invoices, warranty registrations, and paint condition reports are retained for up to 7 years to satisfy the requirements of the Corporations Act 2001 (Cth) and the Australian Taxation Office (ATO).

13. Access, Correction & Your Privacy Rights

Under Australian Privacy Principles 12 and 13, you have clear statutory rights regarding the personal information MOTORVA holds about you:

  • Right of Access: You may request access to any personal information we hold about you. We will verify your identity before releasing records and respond within a reasonable timeframe (typically within 30 days).
  • Right of Correction: If you believe the information we hold about you or your vehicle is inaccurate, out of date, incomplete, or irrelevant, you may request that it be amended.
  • Right of Deletion: Where retention is not required by statutory accounting or tax laws, you may request the deletion of your customer contact record.

To exercise any of these rights, please submit a written request via our website consultation form or by physical post to our Williamstown North workshop address.

14. Direct Marketing & Communication Preferences

MOTORVA does not send bulk automated marketing emails or promotional SMS blasts. Communications are limited strictly to direct transactional updates concerning your vehicle consultation, drop-off, paint evaluation, or collection.

In the event that we introduce an opt-in educational automotive journal or seasonal maintenance bulletin, you will have an explicit, frictionless option to unsubscribe at any time in compliance with the Spam Act 2003 (Cth).
